Workload Coordinator
At Hand on Heart Jewellery, we pride ourselves on offering an exceptional product and service, and we’re looking for a passionate, organised, and proactive Workload Coordinator to join our team.
As our Workload Coordinator, you will be at the core of our operations, overseeing our workload system to ensure each order is accurately recorded and prioritised for a smooth, efficient workflow. Your role will involve preparing and scheduling each day’s workload, factoring in deadlines, team availability, and machine capacity to maximise productivity and meet customer expectations.
You’ll work closely with the Product & Service Manager, sharing updates on workload progress, identifying potential bottlenecks, and proposing forward-planning strategies with achievable deadlines to support our team’s goals.
You’ll also play a critical role in accommodating customer requests and coordinating around specific needs and deadlines to enhance overall customer satisfaction. You’ll be responsible for responding to customer queries, providing clear and helpful information as well as contacting customers directly when clarification is needed to ensure expectations are met.
Accurate and timely order processing is essential in this role, as each order we handle is unique and deeply sentimental to our customers. This process ensures that customers receive important updates on their order’s progress and any necessary materials for supplying ashes or prints for their cherished jewellery pieces. You’ll oversee the careful handling of prints and ashes upon arrival at our studio, setting clear delivery timelines to give customers peace of mind.
Finally, as part of managing the daily tasks, you will also oversee and support team members within this admin department, effectively delegating tasks to keep daily operations running smoothly.
We're looking for someone who is not only committed to understanding our systems thoroughly but is also enthusiastic about identifying opportunities to improve our processes for maximum efficiency. You must have thorough IT and administrative skills as well as confidence in approaching new software. We’ll provide training in our current procedures and software but you’ll be eager to take ownership of this role, becoming a knowledgeable and reliable resource for workload coordination.
Collaboration and communication are key at Hand on Heart. You’ll understand the needs of the business and the importance of your role within our daily operations. To keep our processes consistent and clear, you’ll document and digitalise all procedures and planning, making this information accessible to our team so anyone can step in and provide support seamlessly when needed.
Previous experience in a coordinating or managerial role would be highly beneficial, particularly if it involved managing workflows, overseeing team responsibilities, or ensuring smooth operations.
You'll enjoy 6 weeks of paid holiday, rising to 7 weeks after 24 months. Conveniently located just a stone’s throw from Penrith town centre, we provide free on-site parking, with local amenities only a short walk away.

Starting Salary: From £28,000, depending on experience
